Terms of Use for the CheckIn Service

These Terms of Use (the “Terms”) govern access to and use of the CheckIn service (the “Service”) provided by the Service Administrator. By using the Service, the User confirms acceptance of these Terms.

- Terms and definitionsService means the CheckIn software product, including a web interface for managers and a mobile application through which employees interact with tasks and submit reports. User means a legal entity or individual registered in the Service and using it to manage tasks and employees. Employee means an individual whose data is added to the Service by the User. Mobile application means the Service application used by employees to register, receive tasks and submit reports. Telegram ID means the unique Telegram user identifier that the User may provide as an employee’s additional contact detail. AI processing means automated processing of images and other data using machine-learning technologies to analyse photographs confirming task completion. Plan means the set of Service features provided to the User for a fee or free of charge.
- Subject of the Terms
- The Administrator grants the User access to the Service for task management, employee records, mobile-app interaction, receiving and processing photographs, and AI processing where included in the plan.
- The scope and availability of features are determined by the selected Plan.
- Data processed in the Service
- When using the Service, the User may upload and process employee data, including full name, email, job title, Telegram name and ID where available, and photographs submitted through the mobile application to confirm task completion.
- On plans that include AI processing, employee photographs may be analysed by automated algorithms to determine whether a task has been completed.
- The User undertakes to obtain employees’ consent to transfer and process their data in accordance with Russian law.
- The User acknowledges that when adding employee data, the User acts as the personal-data operator for those persons and is responsible for the lawful collection and transfer of their data to the Administrator.
- Registration and account use
- To access the Service web interface, the User registers by email. Registration is available to anyone wishing to use the Service to organise tasks and manage employees.
- A registered User creates their own workspace, in which they may add and manage employees.
- Employees interact with the Service — registration, receiving tasks, and sending reports and photographs — through the Service mobile application.
- Employees download the mobile application and register with email. The User adds the employee to their organisation through the web interface using that email, after which the organisation becomes available in the app.
- Use of the mobile application is required for the Service to operate. Employee-related functionality is unavailable without it.
- The User undertakes to provide employees’ email addresses correctly. Employees are identified by the email specified during mobile-app registration.
- Employee-related operation of the Service depends on the availability of the mobile application and app stores. The Administrator is not responsible for restrictions imposed by third parties or public authorities.
- Plans and payment
- Available plans: Free — up to 5 employees, unlimited tasks, departments and roles, mobile-app access, without AI checks, free of charge. Starter — up to 10 employees with AI checks, ₽2,990. Standard — up to 25 employees with AI checks, ₽4,990.
- The User may purchase additional employee slots without switching plans, at ₽150 per slot.
- The Administrator may change plan and additional-slot prices unilaterally after notifying the User through the Service interface or by email.
- Payments are processed through Robokassa. The Administrator does not store the User’s payment data.
- Rights and obligations
- The User undertakes to use the Service in accordance with Russian law, not grant access to third parties, provide accurate data and ensure that employee consent to personal-data processing has been obtained.
- The Administrator may change Service functionality, update plans and restrict access for breach of these Terms.
- Data processing and storage
- All data processed by the Service, including User and employee data and photographs, is stored in certified data centres in the Russian Federation.
- The Administrator applies necessary technical and organisational personal-data safeguards in accordance with Federal Law No. 152-FZ.
- AI processing of employee data may involve transferring images to external services outside the Russian Federation. Such transfer is permitted only with the employee’s consent.
- The User undertakes to obtain employee consent to cross-border transfer of personal data and confirms that such consent exists when using the Service.
- Limitation of liability
- The Administrator takes reasonable measures to ensure stable Service operation but does not guarantee uninterrupted operation.
- The Administrator is not responsible for restrictions or failures of third-party services, including app stores, payment services and AI-processing services.
- The Administrator is not responsible for inaccurate data provided by the User.
- The Administrator does not guarantee absolute accuracy of AI photograph-processing results. The User independently decides whether to confirm task completion.
- Intellectual propertyThe Service and all its interface elements are the Administrator’s intellectual property. The User receives a limited, non-exclusive licence to use the functionality.
- Changes to the TermsThe Administrator may amend these Terms. The current version is published on the Service website.
- Third-party services
- The Service uses third-party services and infrastructure, including app stores, AI image-processing services, the Robokassa payment aggregator, SMTP email services and Yandex.Metrica analytics.
- Use of the Service means the User agrees to the policies of these services.
- The Administrator is not responsible for third-party services or limitations related to their operation.
- Final provisions
- The laws of the Russian Federation apply to the parties’ relationship.
- Matters not covered by these Terms are resolved under applicable law.
- Use of the Service constitutes the User’s full and unconditional acceptance of these Terms.
